Ernest & Eleanor Sullivan Common Room (KAP 278)
Room 278 Kaplan Hall is reserved for exclusive use by the Department of English. This space serves as a casual lounge space that faculty, emeriti, and staff can use to hold small working group meetings or discussions, promote faculty collaboration opportunities, and hold small departmental receptions. The Sullivan Common Room houses the Hand Library Collection, and is an optimal space to read and reference publications from that collection in a quiet space. Reservations can be made by contacting the English Programs and Media Manager.
Copying
Main office staff will set up a code that will activate use of the machines. Charges for copying are $.08/copy. A credit of 500 copies is given for teaching assistants for each course. Faculty can use their code for coursework; they will be credited if they complete the log with course information.[WA1]
Directory Editor
The Dept. Academic and Staff HR Manager is the department’s primary editor for the CTS Directory (UCLA Campus Directory). Adding names/emails to this directory is an important requirement for staff to access certain functions and for faculty to access their course roster. The back-up editor is the Department CAO.
Email Distribution Lists
The department maintains several email distribution lists, which are managed by the IT Manager (faculty/staff lists), Graduate Advisor (graduate students list), and Undergraduate Advisors (undergraduate students list).
Facilities Requests
For general facilities trouble calls (locked doors, lack of heat or cooling, lights/light bulbs out, water on floor, insect infestation etc., etc.), please inform front office staff at 149 Kaplan Hall, or call ext. 5-4173 or 825-4173.
First Aid
First Aid supplies can be obtained in the department office in 149 Kaplan Hall.
Keys
Please see the Department Front Office & Personnel/Payroll Coordinator for any key requests, including permanent key assignment, temporary key assignment, or key replacement. The replacement fee for lost or misplaced keys is $7.00 for each office/mailroom key and Faculty Common Room key. The replacement fee for a lost or misplaced building key is $35.00.
Parking
Faculty and staff parking permit information can be found here. Guest permits for special events are also available. The Department Front Office & Personnel/Payroll Coordinator serves as the Parking Coordinator and can answer all questions related to guest permit requests as well as faculty and staff parking permits.
Scanning
Digital scanning is available through the two networked-copiers in the copier room and can be used to scan both pictures and text and send by email as .pdf files. Contact front office staff for more information.
Supplies
Contact the Business Office Coordinator or visit 149 Kaplan Hall to order supplies.
Student Papers
Student papers should be returned directly to the student by faculty and need not be held longer than one quarter after the course is taught. In cases in which the faculty member will be leaving the University immediately after the course ends, papers can be given to the Undergraduate Office for return to students. However, space is very limited, so this service should only be used in the above situation. Blue books and papers with grades must also be retained for one quarter, and must be shredded during disposition. Please see Front Office & Payroll/Personnel Coordinator for assistance.
Telecommunications
Zoom Phone:
As part of the onboarding process for new employees, a dedicated zoom telecommunication line is established. Zoom phone replaces the use of physical phones, with minimal exception.
Zoom Phone is UCLA’s modern, cloud-based phone service that integrates with the Zoom platform. It allows faculty and staff to make and receive phone and videoconferencing calls using the Zoom desktop or mobile app, allowing your laptop, tablet, or smartphone to be a fully functional business phone. Zoom Phone has been adopted across all academic, administrative, and research units. Please contact the IT Manager if you are interested in setting up or modifying your Zoom phone service.
For more information, please view online resources at Zoom Phone or visit Bruin Voice.
